Getting Started With AI Automation in Six Steps

A structured plan for the first AI automation project, designed to produce a measurable result instead of an impressive demo.

1. Choose one process

Pick a process with weekly volume, varied input and a clear owner. Describe it end to end, including systems, exceptions and current processing time.

2. Define success criteria

Agree on measurable targets with the process owner: time per case, error rate, share of cases handled automatically and acceptable cost per case.

3. Prepare data and a test set

Collect real, permitted examples including difficult ones. Without a test set, quality cannot be measured and improvements cannot be proven.

4. Build and evaluate a prototype

Build the smallest version that processes the test set end to end. Measure the results against the criteria and adjust instructions, validation rules and the split between AI and rules.

5. Run a pilot

Use the automation in daily work for a limited group with human review of every result. Define in advance when you stop or change course.

6. Move to production

Roll out gradually, monitor quality and cost, assign an owner and plan regular reviews. Document what the automation does and does not do.

Frequently asked questions

How long does a first project take?

A focused first project often takes several weeks. The biggest variable is access to data and systems.

Who should be involved?

The process owner, someone responsible for the systems involved, data protection where personal data is concerned and the team that will use the result.
